Effective from 18 September 2026.
1. Who we are
This website (the Site) is operated by Cowork (we, us), a provider of outsourced accounting and records-management services in Latvia. We are the controller of the personal data processed on the Site.

2. What data we process
Contact form
When you fill in the contact form on the Site, we store:
- your email address;
- the services you ticked as being of interest;
- your question, if you describe one;
- the address of the page you came to the form from;
- the time the request was submitted.
While handling your request we attach a status to it (for example “contacted” or “meeting scheduled”) and a note of who on our team is working on it.
Technical data
Our hosting provider automatically keeps server logs: IP address, browser type, requested page and time. We use these only for the security of the Site and for troubleshooting.
Language choice
The Site remembers your chosen language (Latvian or English) in a cookie. See section 7.
We do not process special categories of personal data and we do not carry out automated decision-making or profiling.
3. Why and on what basis we process data
- To respond to your request and arrange a free consultation. Basis: steps taken at your request prior to entering into a contract (Article 6(1)(b) of the General Data Protection Regulation).
- To send you a confirmation that your request was received. Basis: the same.
- To keep a list of requests and track which ones have been handled. Basis: our legitimate interest in organising our work (Article 6(1)(f)).
- To keep the Site secure and prevent abuse. Basis: our legitimate interest.
We do not send marketing newsletters and we do not use your email address for other purposes without your consent.
4. Who we share data with
We do not sell your data. The following service providers process data on our behalf and under our instructions:
- Vercel Inc. – hosting of the Site and server logs;
- Neon Inc. – the database in which requests are stored;
- our email service provider – sending notification and confirmation emails;
- Google LLC – the Site’s fonts are loaded from Google Fonts servers, so your IP address is transmitted to Google when a page is opened.
Some of these providers may process data outside the European Economic Area. In such cases the transfer is based on the European Commission’s standard contractual clauses or an adequacy decision.
We disclose data to public authorities only where the law requires it.
5. How long we keep data
- Request data is kept for 24 months from our last contact with you. If you become our client, data is kept in accordance with the service agreement and the laws governing accounting records.
- Server logs are kept by the hosting provider for no longer than 30 days.
- The language cookie stays on your device for up to 400 days or until you delete it.
6. Your rights
You have the right to:
- access your data and receive a copy of it;
- have inaccurate data corrected;
- request erasure of your data;
- restrict processing;
- object to processing based on our legitimate interests;
- receive your data in a portable format.
To exercise these rights, write to info@cowork.lv. We will reply within one month at the latest. We may ask you to confirm your identity before replying.
If you believe we are processing your data incorrectly, you have the right to lodge a complaint with the Latvian Data State Inspectorate (Datu valsts inspekcija, Elijas iela 17, Rīga, LV-1050, www.dvi.gov.lv). We would appreciate it if you contacted us first.
7. Cookies
The Site uses one functional cookie:
- PARAGLIDE_LOCALE – stores the chosen language of the Site. Lifetime: 400 days.
The administration area of the Site, which is available only to our staff, uses session cookies to keep staff logged in. These cookies are not set for visitors.
We do not use analytics, advertising or tracking cookies. If that changes, we will update this policy and, where the law requires it, ask for your consent.
You can delete or block cookies in your browser settings. If you block the language cookie, the Site will open in Latvian each time.
8. Security
Data is transmitted to and from the Site over an encrypted HTTPS connection. Requests can be accessed only by our staff, each with an individual login. Email server credentials are stored encrypted.
9. Children
The Site is intended for business owners and is not aimed at persons under 16. We do not knowingly collect children’s data.
10. Changes to this policy
We may update this policy from time to time. The current version, with its effective date, is always available on this page.
